Sortem for surveyors

File organisation for surveyors

After a day of inspections you can be left with hundreds of photos, draft reports and supporting PDFs in one place. Sortem helps you turn that into a consistent folder for each job — without dragging every file by hand.

Available for Windows 10 and Windows 11. macOS coming soon. Paid features require a subscription.

Why survey files get messy

A single inspection can produce a large batch of photographs with camera-generated names such as IMG_4821.jpg, alongside floor plans, client instructions and the finished report. Spread across several jobs a week, it quickly becomes hard to find the right image when you are writing up.

Most surveyors already know the structure they want — one folder per property, with photos, reports and correspondence kept apart. The problem is the time it takes to apply that structure every time.

Typical files

  • Property and site photographs
  • Survey and valuation reports (PDF and Word)
  • Inspection notes and checklists
  • Floor plans and drawings
  • Client instructions and terms
  • Supporting documents from third parties

How Sortem fits your workflow

Choose a folder, tell Sortem what you want, review the proposed changes and approve them. Supported actions can be reversed with Undo.

Tidy a job after the inspection

Point Sortem at the folder you copied from your camera or phone, describe the job structure and review the plan before anything moves.

Rename photos in bulk

Replace camera names with consistent, readable names so images are easier to find when writing the report.

Keep new files in order

Use a Smart Folder on your downloads or import folder so new reports and documents are filed using instructions you set once.

Example instructions

  • “Create a folder for each job and put photos, reports and client documents into separate subfolders.”
  • “Move PDFs with “report” in the name into each job's Report folder.”
  • “Rename photos to include the job folder name and a number, like “14-Station-Road_001”.”
  • “Put anything you can't place into an Unsorted folder so I can check it.”

Example result
