How to organise property survey photos

Organise survey photos by creating one folder per job (named with the date and property), keeping photos separate from reports and documents, and renaming images with the job name and a number. Do it straight after each inspection so the backlog never builds up.

1. Create one folder per job

Name each job folder with the date and property, for example “2026-10-14 · 14 Station Road”. Starting with the date keeps jobs in chronological order.

2. Use the same subfolders every time

  • Photos
  • Report
  • Client documents
  • Supporting documents

Repeating the same layout means you always know where to look, and colleagues can find things without asking.

3. Import and file straight after the inspection

Copy photos off your camera or phone the same day, into that job's Photos folder. Delete obvious duplicates and blurred shots while the visit is fresh.

4. Rename photos consistently

Replace names like IMG_4821.jpg with the job name and a number — “14-Station-Road_001.jpg”. If you group photos by room or elevation, add that too: “14-Station-Road_Kitchen_003.jpg”.

5. Archive finished jobs

Once the report has been issued, move the job into an Archive folder by year. Your active Jobs folder stays short and quick to scan.
